Job Description

POSITION: Executive Assistant to the School Culture Team

REPORTS TO: Managing Director of School Culture


COMPENSATION: $19.17 - $24.92 an hour


Across the nation, only half of all students from low-income communities graduate from high school and only 10% earn a college degree. Even though 85% of our students are economically disadvantaged, YES Prep provides evidence that different outcomes are possible. Eighty-seven (87%) of YES Prep alumni matriculate to college within one year and alumni like Eddie Zapata are earning their college degrees at five times the rate of their peers with similar socioeconomic backgrounds. How do we do this? Each of YES Prep’s 19 campuses serves 6th-12th graders like Monique Bowie. Students typically enter YES Prep one or more grade levels behind, but quickly find themselves on a different life trajectory. This is a result of transformative relationships with teachers and leaders, and access to excellent educational opportunities.

As the first minority-majority city, Houston’s schools cannot keep up with demand from students like Eddie and Monique. Houston is the 4th largest city (on track to become the 3rd), and this booming population translates into 2,000 families on YES Prep’s waitlist. YES Prep’s student enrollment is estimated to grow 31% between now and 2023 (from just over 13,000 students currently to 17,000).


YES Prep needs a dynamic Executive Assistant to the Heads of Schools, with a diverse set of experiences, to make our mission a reality. To put it simply, you will play an integral role in working directly with the Heads of Schools to ensure impeccable individual support and manage projects as assigned.


When you join the YES Prep team, some of the exciting work and responsibilities will include:

  • Managing the Managing Director of School Culture’s calendar and time, scheduling meetings and communicating with internal and external stakeholders

  • Coordinating travel arrangements for the Managing Director of School Culture

  • Managing reimbursements and credit card statements for the Managing Director of School Culture

  • Overseeing and managing a variety of high priority projects, as well as completing ad-hoc projects, requests, and analysis

  • Serving as the primary event planner for the logistical planning and execution for events such as affinity summits, system-wide family events, athletic conference’s etc.

  • Communicating and engaging with participants around logistics, timelines and statuses

  • Assisting with the creation and organization of presentation and meeting materials, such as PowerPoint slides, documents, and related materials

  • Managing the School Culture Team SharePoint site

  • Serving as the member in School Culture Team meetings who takes notes, keeps time, captures actions, and distributes actions

  • Helps the Managing Director of School Culture in the management of SCT projects through Asana

  • Focusing on internal projects and initiatives to support future growth

  • Analyzing and preparing reports regarding system wide data

  • Additional duties as assigned

  • Bachelor’s Degree from an accredited four-year educational institution
  • Minimum 2-3 years of experience in an administrative or operations role
  • Evidence of producing great work products on quick timelines
  • Strong writing skills and aesthetically pleasing work product delivery
  • Belief in and commitment to the mission and core values of YES Prep Public Schools
  • Openness to giving and receiving frequent feedback
  • Demonstrated ability to work on a team
  • Ability to juggle multiple tasks and initiatives at once
  • Ability to maintain emotional control under stress


  • Bilingual
  • Advanced proficiency in Excel, PowerPoint, and other MS Office programs
  • Effective communicator in both written and oral form, with excellent clarity and grammar
  • Embody a “whatever it takes” spirit and ability to be flexible when priorities adjust on a quick timeline
  • Initiator, problem-solver, and creative thinker
  • Ability to maintain highest level of confidentiality


  • Compensation – This position is a non-exempt, hourly position; offers commensurate with experience.
