ROLE OVERVIEW

As a member of the Communications & Marketing team, the Events Associate plays a critical role in contributing to the coordination and execution of KIPP DC’s major internal and external events across a variety of audiences (including donors and supporters, prospective teachers, families and community leaders, and KIPP DC staff members) and working with partner teams (development, recruitment, engagement, instructional leadership, and executive) in order to deliver events that advance KIPP DC’s brand, mission, and stewardship and cultivation objectives.

The ideal candidate is an energetic, forward-thinking, and detailed oriented individual. A strong results orientation and knowledge of branding best practices and marketing skills are a must. Additionally, possessing the capacity to effectively balance strategic thinking and execution in a fast-paced environment is critical for success in this role. The associate reports to the Senior Events Manager.

1-2 years of experience managing events and working in a professional office environment is preferred.

RESPONSIBILITIES: 

  • Event Strategy & Planning (10% of time)
    • Strategize with partner teams about innovative event ideas that would increase constituent engagement with KIPP DC.
    • In partnership with various team leaders, support the establishing of a clear event vision and objectives tailored for unique audiences and event types.
    • Liaise between partner teams and the communications team to manage the production of marketing collateral and merchandise.
    • Identify the specific level of event support and capacity needed from school operations teams for each project and align on the logistics plan and areas that require operations support.
  • Project Management & Execution (70% of time)
    • Assist with creating strong project plans to divide responsibilities, establish clear decision-making and feedback loops, and produce marketing collateral and other event deliverables.
    • Lead check-ins with partner teams to ensure progress on event project plans.
    • Serve as a project manager within the communications & marketing team to produce effective printed materials, merchandise, videos, photos, emails, and social media to promote specific events.
    • Coordinate with vendors and execute on-site logistics for conferences, open houses, volunteer events, fundraiser/stewardship events, major staff events, and other high-impact events.
    • Conduct excellent interactions and communications (phone calls, emails, meetings, etc.) with all internal and external stakeholders (vendors, partner teams, decision-makers, etc.)
  • Communications & Marketing Team Operations & Responsibilities (20% of time)
    • Maintain accurate and up-to-date records, budgets, and attendee data to track event effectiveness.
    • Maintain operational systems to manage complex projects and report progress across the communications & marketing team and to key stakeholders.
    • Participate in KIPP DC headquarters and external affairs-related activities, including staff meetings, professional development conferences and retreats, fundraising events, and other public relations opportunities.

REQUIREMENTS:

  • Bachelor’s degree required
  • 1-2 years of event, marketing, campaign, and/or project management experience preferred
  • Outstanding project management and organizational skills, and extraordinary attention to detail
  • Ability to work in a fast-paced environment under tight deadlines
  • Excellent writing, communication and presentation skills

  • Strong judgment and decision-making skills

  • Experience in non-profit/education field a plus
  • Unquestioned integrity and commitment to KIPP DC’s mission
  • Mastery of Microsoft Excel, PowerPoint, Word, Outlook, and Google Drive
  • Willingness to travel between our seven campuses and attend occasional weekend and evening events at our schools and external venues
  • Comfort managing and tracking data required; experience with Rasier’s Edge, Salesforce, MailChimp, or similar constituent databases preferred
